Early-access terms
Khronolog is in early access: invite-only, still being tested, and provided as it is. You can use it for free, and an organisation can choose a paid plan. These terms cover both. They'll be replaced at launch, and nobody is charged without choosing a plan.

1.Who we are
Khronolog is run by Louis Mateu, a sole trader (eenmanszaak) registered in the Netherlands. In these terms “we” means them, and “you” means the person using Khronolog. By ticking the box when you first sign in, you accept these terms and confirm you've read the privacy policy.

2.What early access means
- Khronolog is pre-release software, offered to people we invite.
- It can contain bugs, record time wrongly, or lose data. Check anything you bill from it before you send an invoice. That's true on a paid plan as well.
- Features can change or disappear, the local database may need resetting, and we may pause or end early access. We'll give notice where we can, and refund what we have to (section 8).
- Keep your own backups. The desktop app copies its database before every update that changes it, and the docs explain where those copies are.
- Tell us what goes wrong with Help → Report a Bug… in the app or Report a bug on the web.
3.Your account
You need an account to use Khronolog. Keep access to your email address and Google or Microsoft account secure, since that's how you sign in. You must be at least 16, and the person the invite was meant for. Tell us at privacy@khronolog.com if you think someone else has used your account.
4.Your data
What Khronolog records on your computer stays on your computer and belongs to you, apart from the timesheet it syncs for you. What you choose to share with an organisation, and everything you type into the web app, stays yours too. You give us only the permission we need to store it, sync it and show it to the people you shared it with. The privacy policy sets out exactly what leaves your computer and what doesn't.
5.Organisations, and tracking other people
An organisation is a shared workspace. Its owner decides who joins and what roles they have. Members choose which blocks they share; the organisation never receives anyone's raw activity.
If you run an organisation for a team, you are responsible for having a lawful basis for the timesheets your members share with you, and for telling them how you use them. Where the law calls your organisation the controller of that data, this section is our data processing agreement with it (GDPR art. 28). We process the data only on your behalf and on your instructions, which are these terms and the way you set up your organisation. We:
- keep it confidential, and protect it as described in the privacy policy;
- use only the subprocessors listed there, and tell organisation owners at least 30 days before we add one, so you can object or leave;
- help you answer your members' requests and meet your own duties under the GDPR;
- tell you without undue delay about a breach that affects it;
- give you what you need to show we keep to this, on request;
- let you export it while the organisation exists, and delete it when the organisation is deleted, unless the law makes us keep it.
Don't use Khronolog to watch people secretly or against their will.
6.Licence to use the software
The desktop app, the web app and their code belong to us. While you have an account and keep to these terms, we give you a personal, non-exclusive, non-transferable licence to install and use Khronolog for your own work or your organisation's, on the computers you use. We may withdraw it if you break these terms seriously.
You may not copy, modify, translate, redistribute, sell, rent or sublicense the software or any part of it, use it to build a competing product, or reverse engineer or decompile it, except where the law allows it. Under EU law (Directive 2009/24/EC, articles 5 and 6) you may still observe, study and test how the program works while you use it, make a backup copy, and decompile it where that's needed to make another program work with it. Nothing in these terms takes those rights away.
We keep all intellectual property in Khronolog, its name and its design. Your data stays yours (section 4). Open-source components inside the app stay under their own licences. If you send us feedback or ideas, we may use them to improve Khronolog without owing you anything for them.
7.Fair use
Don't break the law with Khronolog, try to get at other people's data, probe or overload the service, or get round the invite system or billing. We may suspend an account that does, and will tell you why.
8.Paid plans
- For businesses only. Paid plans are for organisations used in a trade, business or profession, freelancers included. By subscribing you confirm you aren't acting as a consumer, and that you may commit the business you subscribe for. That business is our customer for the plan.
- Trial. A new organisation gets a 14-day free trial, with no payment details needed. If you subscribe during it, the first charge is when the trial would have ended.
- Price. A plan is charged per seat (each member of the organisation), monthly or yearly. The billing page shows the price before you pay. Prices exclude VAT, which is added where it applies; a business elsewhere in the EU with a valid VAT number is reverse-charged. Seats added or removed during a period are charged or credited pro rata.
- Payment. Payments go through Stripe, which holds your card details; we never see them. Stripe emails an invoice for every payment.
- Renewal and cancelling. A plan renews each month or year until you cancel it, which you can do at any time on the billing page. It then runs to the end of the period you've paid for, and isn't refunded for the time left, except as below.
- Refunds. If we end Khronolog, your organisation's plan or your access without you having broken these terms, we refund the unused part of what you paid.
- Late payment. If a payment fails, Stripe tries again. 14 days after the first failure, the organisation's shared workspace becomes read-only until the bill is paid. Tracking on everyone's computer never stops, you can still read, export and delete, and nothing is deleted because of a missed payment.
- Price changes. We email organisation owners at least 30 days before a new price applies. It starts with your next billing period, so you can cancel before then.
- Early access still applies. A paid plan pays for the service as it stands. It doesn't come with promised uptime, response times or features. We answer support email as soon as we can.
Until we switch real billing on, the billing pages run in Stripe's test mode: nothing you enter there is charged. We'll email organisation owners before real billing starts.
9.Other services you connect
You can connect your own accounts with other providers: an AI provider through your own API key, Google or Microsoft calendars, Slack. The app talks to them directly from your computer, under your agreement with that provider, and we are not responsible for what they do. AI is used only when you click, and its answers can be wrong: check them.
10.No guarantees
Because this is pre-release software, free or paid, it is provided as it is and as available, without any promise that it will work without interruption or error, or that it suits a particular purpose. That doesn't take away any rights the law gives you that can't be signed away.
11.Liability
- We are not liable for indirect or consequential loss, such as lost income, a missed or wrong invoice, or lost or wrongly recorded data.
- In any other case our total liability is limited to €100, or, if more, what you or the organisation you subscribed for paid us in the 12 months before the event that caused it.
- None of this limits liability for intent or gross recklessness (opzet of bewuste roekeloosheid), or any liability that the law doesn't allow to be limited. If you use Khronolog for free as a consumer, you keep every right consumer law gives you.
- Report a claim to us within 12 months of learning about it.
12.Leaving
You can stop using Khronolog at any time. To delete your account and everything we hold about you, email privacy@khronolog.com from the address you sign in with. We'll do it within one month and confirm when it's done. If you're the only owner of an organisation, hand ownership to someone else or delete the organisation first, and cancel its plan if it has one. Invoices and payment records are kept as long as Dutch tax law requires. What's on your own computer is yours to delete: remove the app and its data folder.
We may end your access, or early access, with reasonable notice, or straight away if you break these terms seriously. You keep everything on your computer either way.
13.When Khronolog becomes a company
We intend to move Khronolog into a company, most likely a Dutch BV. You agree now that we may transfer your agreement under these terms, including a paid plan, and your account and data with it, to that company, as long as it takes on these terms and the privacy policy as they stand. A paid plan carries over at the same price. We'll tell you before it happens, who the new operator is, and whether you need to enter payment details again. If you don't want to come along, you can leave and have your account deleted, and we refund the unused part of a paid period.
14.Changes to these terms
When the terms change in a way that matters, the app asks you to accept the new version before you carry on. For a paid plan, we email organisation owners at least 30 days before a change that's worse for them takes effect. If you don't accept, you can cancel before then, and we refund the unused part of what you paid. Otherwise you can leave as described above.
15.Law and disputes
Dutch law applies, and disputes go to the competent court in the Netherlands. If you use Khronolog as a consumer and live in another EU country, you keep the protection of your own country's mandatory law and may also go to your own courts. Please write to us first: most things are sorted out faster that way.
